We want to ensure teachers can regain a life/work balance, but we don’t want reports to suffer because of that. They matter, sometimes more than you might think. And they can be pretty long lasting, too (I still have some of my own old school reports in the loft – thank you for the kind words in my Year 3 report from 1995, Ms Field).
So, how do you craft reports worth treasuring, but not break yourself in the process under the strain?
There’s so much to consider, especially at this volume of writing. The phrasing, the tone, the balance, the checking, the repeating, the trying not to sound too generic, and the pressure of knowing that parents and carers will read every word. Then, not to add too much pressure here, but some will be handed on to other relatives, some reports may be handed over to new carers reading about the child in their care for the first time, some of you will be writing EYFS reports where they are all being handed over for the first ever time!
It’s all too much. And the blank page to start really, really doesn’t help.
That is why AI can be useful here.
It can help teachers get to a better first draft more quickly, while still leaving the teacher in control of what is finally used.
That is the aim of the Tandem Teach School Report Writer.
Why does school report writing take so much time?
Report writing takes time because it is not a simple admin task.
Teachers are trying to write comments that are accurate, professional, personal and useful. They need to reflect what they know about each child, while also keeping the tone appropriate for parents and carers.
Then there is the scale of it.
Writing one comment is one thing. Writing comments across a whole class is another.
After a while, even experienced teachers can find themselves running out of wording and repeating the same sentence structures. Speaking of which, tools to help with reports are nothing new, remember those dropdown style tools of the past? The comment bank report tools? Never loved those, but their heart was in the right “save teachers some pain” place, even is their output was limited. Anyway, back on track…
What is an AI school report writer?
An AI school report writer is a tool that helps create draft report comments based on information provided by the teacher.
The teacher gives the tool the context.
The AI helps with the wording, structure and phrasing.
The teacher then checks, edits and approves the final comment. Simple really, which is just as it should be!
How does Tandem Teach help create report comments?
Tandem Teach helps by giving teachers a structured way to create school report comments.
Instead of starting with a blank page, teachers can provide the information needed and use Tandem to help turn that into a clear first draft.
That can help with:
• getting started
• shaping the tone
• making comments sound professional
• reducing repetition
• improving flow
• creating a useful structure
• saving time across a class
The teacher still decides whether the comment is right. But Tandem helps with the draft.
It’s not that easy to explain just how good of a job it does really; the best thing is honestly just to try it. Teachers who have tried it tend to love it.
How can report comments sound professional and personal?
This is one of the hardest parts of report writing. A comment needs to sound professional, but not cold. Personal, but not too informal. Positive, but not vague. Honest, but not harsh.
Tandem Teach can support that by helping create comments that feel clear, appropriate and readable. But the teacher still needs to check the final version.
A good report comment should sound like it belongs to the child, the class and the school. Not like it has been dropped in from nowhere.
How does teacher knowledge guide the output?
The best report comments come from teacher knowledge. The tool does not know the child unless the teacher gives it the right information. It does not know the progress they have made, the support they have needed, the confidence they have built, or the small things that make the comment feel right.
Tandem Teach can help with wording and structure, but the quality of the comment still depends on the teacher’s professional understanding.
Why do reports still need teacher review?
Because reports are about real children.
A report comment is not just a piece of generated text. It is something that parents and carers may read carefully, keep, refer back to, and use to understand how their child is doing in school – or even keep for years to come!
So, every report comment needs teacher review.
Teachers should check:
• Is it accurate?
• Is it fair?
• Is it specific enough?
• Is the tone right?
• Would I be comfortable sending this home?
• Does this truly reflect what I know about the child?
How can teachers avoid generic or repetitive report comments?
This is one of the risks with report writing, with or without AI (and more so with the comment bank reports!).
When teachers are writing lots of comments, it is easy for phrasing to become repetitive. It is also easy for comments to sound too general, especially when time is tight.
AI can help here, but only if used carefully.
The trick is not to accept generic comments and move on. The trick is to use the draft as a starting point, then add the teacher’s knowledge.
A useful report comment should include enough specificity to feel meaningful.
That might mean referring to the child’s progress, effort, confidence, next steps, strengths, or the way they approach learning. It might also mean ensuring you tell the tool a couple of specific incidents involving that child. Some of their little wins, some of their struggles. It all helps to build a better report. And, if you’re worried about handing over those stories to AI – we ensure named and identifiable data stays on your desktop, it never leaves your watch.
How can AI support consistency across a class?
Writing reports across a whole class can make consistency difficult.
One comment might sound warm and detailed. Another might sound shorter or more formal simply because it was written later in the day when the teacher was tired.
AI can help support consistency by giving teachers a clearer structure and more stable tone across comments.
That does not mean every comment should sound the same. It means the overall standard can be more consistent.
Teachers can then personalise, adjust and improve each comment so that it still feels specific to the child.
Used well, AI can help reduce unevenness without making everything identical.
How can teachers save time without losing care?
This is the balance.
Teachers do not want to save time by sending out weak, bland or careless comments.
They want to save time on the parts of the task that AI can sensibly support: getting started, structuring sentences, improving flow, finding the right tone and reducing repetition.
The care and the knowledge still comes from the teacher.
The aim is always to make it easier for teachers to express care and knowledge clearly, without losing so many evenings to the process.
